Flat Rate vs Per-Student: How School Software Pricing Really Adds Up
Almost every school management vendor in Pakistan quotes per student, per month, usually somewhere between PKR 15 and PKR 30. It's an appealing way to quote, because the number is small and it sounds proportionate. The problem is that it's a per-unit price for something that isn't consumed per unit, and the total only becomes visible once you multiply it by your actual roll.
Why vendors quote per student
Per-student pricing is easy to say on a sales call and it makes a comparison against a monthly figure look favourable. PKR 15 sounds like nothing next to PKR 6,999. But your school doesn't buy fifteen rupees of anything. It buys a system, once, and then adds students to it.
The cost of serving a 700-student school isn't meaningfully higher than a 400-student one, so per-student billing charges you for growth rather than for use. That's fine when you're small. It becomes the largest line item in your software budget when you're not.

Take your actual current enrolment, add the growth you genuinely expect over three years, and compute the total for both models across that whole period rather than for month one. Then add every fee from the list above. A school growing from 400 to 700 students will see a per-student bill rise by three-quarters over that time while a banded flat rate may not move at all.
Then check what you're locked into. Ask for the notice period, the refund terms on unused prepaid months, and a written data-export clause. A cheap system you can't leave is not cheap.
