This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.

• Account information: Name, email address, school or organization details, and role when you register or use our platform.
• Usage data: How you interact with our services, including features used, login times, and device information.
• Student and academic data: Information that schools and educators provide to manage attendance, grades, fees, and communications, in accordance with applicable education privacy laws.
• Communications: Messages and support requests you send to us.

3. How We Use Your Information

We use the information we collect to provide, maintain, and improve our services; to process transactions; to send you relevant updates and support; to ensure security and prevent fraud; and to comply with legal obligations. We do not sell your personal information to third parties.

4. Using Your School’s Name and Logo

There is an important difference between your school’s identity as an institution and the personal data of the people inside it. We treat the two very differently.

• Institutional details are not personal data: Your school’s name, logo, campus location and general details such as school type or approximate size identify an organisation, not an individual. Subscribing schools grant us a licence to use these to identify them as an Edflo customer, for example on a customers page, in proposals or on software directory profiles. The full licence is section 18 of our Terms and Conditions.
• Personal data is never used for marketing: We never use student, parent, teacher or staff personal data in any marketing, promotional or sales material. No names, no photographs, no attendance records, grades, fee histories or contact details. This holds whether or not your school appears anywhere as a customer reference.
• Named quotes need separate consent: If we want to publish a testimonial or case study naming a member of your staff, we ask that person and your school for written approval first, every time. Approving one does not commit anyone to the next.
• Opting out: You can ask us to stop at any time by emailing info@edflo.io. We will stop using your school’s name in anything new and remove it from our website and digital material within 30 days.

We implement industry-standard technical and organizational measures to protect your data, including encryption, access controls, and secure infrastructure. We regularly review our practices to keep your information safe.
