What a school fee challan must show

A challan has two readers: the parent deciding whether the amount is right, and the bank cashier deciding whether to accept it. The format below works for both, and it is the one the template above prints.

School and bank details

The school's name, address and phone, then the bank, branch, account title and account number or IBAN the fee is paid into. The account title should match the bank's records exactly, or a cashier may refuse the deposit.

Challan number

A number used once, never repeated. It is how the office matches a stamped bank copy to the right student when the bank statement arrives.

Student identity

Name, father's name, class and section, and the roll or registration number. Two students with the same name in one class is more common than it sounds; the roll number settles it.

Fee month, issue and due date

Which month or term the challan is for, when it was issued and the last day to pay without a fine. Issue challans at least ten days before the due date so parents have a salary day in between.

Fee heads

Each charge on its own line: tuition, transport, computer lab, exam or annual charges. Lumping them into one figure is what starts most fee arguments at the front desk.

Arrears and concession

Unpaid balance from earlier months added as its own line, and any sibling, staff or scholarship concession shown as a deduction. Parents accept a total more readily when they can see how it was built.

Payable by and after the due date

Two totals: what to pay by the due date, and what to pay after it with the late fee added. Banks collect the second figure after the due date without phoning the school.

Amount in words and signatures

The total written in words, as banks expect, plus space for the depositor's signature and the cashier's stamp. The stamp on the parent copy is the parent's proof of payment.

When printed challans stop being enough

A printed challan works until the school has a few hundred students. Then the monthly batch takes a day, arrears get copied across by hand, and the stamped copies have to be matched against the bank statement one by one.

In Edflo, you set the fee structure once and every student’s challan is generated each month or term, with arrears carried forward and concessions already applied. Each student also gets a 1BILL consumer number. Parents can pay through any 1LINK member bank app, internet banking or ATM, or through EasyPaisa or JazzCash, and the payment posts to that student’s ledger by itself. The 1BILL merchant account is your school's own, so fees settle directly into your school's bank account. Edflo never holds or routes your fee money.

Printed challans still work alongside it for parents who pay at a bank counter. Those payments are recorded by your office, the same as today. See how fee management works.

Questions about fee challans

One challan is quick by hand. Hundreds every month is where the time goes. See fee management

A fee challan is the slip a school issues for a payment due: who is paying, for what, how much, and by when. In Pakistan it usually doubles as a bank deposit slip, printed in three copies. The parent pays at the bank, the bank keeps one copy, and the stamped copies go back to the school and the parent.

Every student’s challan, in one click.

Edflo generates the month’s challans from your fee structure, sends reminders over WhatsApp and SMS, and shows who has paid without a register.
